CerebralCrew ("CerebralCrew", "we", "our", or "us") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect, why we collect it, how we use and protect it, and the rights you have over it — whether you're registering interest in our early-access program, contacting our sales team, or eventually using the CerebralCrew platform itself.
1. Who is responsible for your data
CerebralCrew is the data controller responsible for the personal information described in this policy. This means we determine why and how your data is processed, and we are accountable for handling it responsibly and in line with applicable data protection laws, including principles consistent with the GDPR where relevant to users in the EU/EEA, and applicable regional regulations for users in the MENA region.
2. Information we collect
We collect information in two ways: (a) information you provide directly, such as your full name, organization name, work email address, and WhatsApp/phone number when you register for early access, request a demo, or contact us; and (b) limited technical information collected automatically when you visit our website, such as browser type, device type, general location (city/country level, derived from IP address), and pages visited, used only to keep the site secure and understand aggregate usage. We do not currently use tracking cookies or third-party advertising pixels.
3. Legal basis for processing
We process your personal information on the following legal bases: your consent, given when you submit the registration form and agree to this policy; our legitimate interest in responding to your inquiry and improving our product; and, once you become a customer, the performance of a contract between you and CerebralCrew. Where required by law, we will always obtain explicit consent before processing your data for a new purpose.
4. How we use your information
We use the information you provide to: respond to your registration or inquiry and coordinate early access or a sales conversation; understand which integrations, industries, and features matter most to prospective customers so we can prioritize our roadmap; maintain the security and integrity of our website and systems; and, where you've agreed to be contacted, share relevant product updates. We do not use your personal information for automated decision-making that produces legal effects, and we do not use it to train third-party AI models outside of delivering the CerebralCrew product to you.
5. Where and how we store your information
During our current early-access phase, registration data is stored in a restricted-access internal system used solely by the CerebralCrew founding team to manage outreach. As we transition to general availability, customer and platform data will be stored in our production infrastructure (hosted on Hetzner Cloud, within the EU), protected with encryption in transit and at rest, access controls, and regular security reviews. We will update this section with full technical detail once general availability launches.
6. Sub-processors and third parties
We do not sell, rent, or trade your personal information. We share information only with service providers who help us operate our business, under agreements that require them to protect your data and use it solely for the purpose we specify. During early access, this may include tools used to manage outreach communication. Once you use the CerebralCrew platform, any third-party integrations you explicitly connect (such as WhatsApp Business API, Telegram, HubSpot, Salesforce, Odoo, or Gmail) will only access the data necessary to power the workflows you configure, and only after you grant that connection yourself.
7. International data transfers
If your information is transferred outside your country of residence, we take steps to ensure it receives an equivalent level of protection, including relying on providers that offer standard contractual clauses or equivalent safeguards where required by applicable law.
8. Data retention
We retain early-access and inquiry data only for as long as necessary to evaluate and respond to your interest, or until you request deletion, whichever is earlier — and in any case no longer than 24 months of inactivity. Once you become an active customer, account and operational data is retained for the duration of your subscription plus a limited period afterward as required for legal, accounting, or dispute-resolution purposes, after which it is securely deleted or anonymized.
9. Data security
We apply reasonable technical and organizational measures designed to protect your personal information against unauthorized access, alteration, disclosure, or destruction, including restricted internal access, secure hosting, and encrypted connections (HTTPS/TLS) across our website and forms. No system can be guaranteed 100% secure, but we continuously work to strengthen our safeguards as we scale toward general availability.
10. Children's privacy
CerebralCrew is a business-to-business product intended for use by working professionals and business owners. It is not directed at, and we do not knowingly collect personal information from, individuals under the age of 18.
11. Your rights
Depending on your location, you may have the right to: access the personal information we hold about you; request correction of inaccurate data; request deletion of your data; object to or restrict certain processing; request a portable copy of your data; and withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal. 12. Cookies and similar technologies
Our website currently uses only essential, functional cookies necessary for the site to operate correctly (for example, remembering your language preference). We do not currently deploy analytics or advertising cookies. If this changes as our product matures, we will update this policy and request consent where required.

As CerebralCrew evolves from early access to a fully operational platform, this policy will be updated to reflect our production data practices, including any additional processing tied to AI agents, integrations, and account features. Material changes will be clearly communicated, and the "last updated" date at the top of this page will always reflect the latest version.
